Weekly Groove

A weekly action agenda is a tool that allows each process participant (or goal owner) to identify a few action items that he must accomplish during the upcoming week, in order to stay on track to reach his next monthly milestones for each of his annual goals.

The process flow chart below shows the Core Groove Process with the addition of Weekly Action Agendas.

The example action agenda shown above is a screenshot from the VMPgoals web application. In this case, the goal owner has four annual goals. In the VMPgoals application, a weekly action agenda can be created with the click of a button, based on information that has been entered into a simple goal plan form for each annual goal. The goal owner can also export his action items to Outlook to create a weekly calendar.

Weekly Groove Planning

The Weekly Groove is an optional add on to the Core Groove process. It’s purpose is to provide a simple, structured way to translate goals, plans and milestones into concrete, effective action, week to week and day to day. The key to making this happen is the weekly hour of power, a block of time set aside by each individual to step back from the fray, refocus, and establish an action agenda for the upcoming week. Without this kind of weekly planning (and re-grounding in the goals), people’s time tends to get chewed up in reactive or pop-up tasks, and they may not think about their goals until the next monthly goals meeting shows up on the calendar.

While some teams and individuals find the structure of the Weekly Groove very helpful, others prefer to manage their weeks in a more free-form manner. Each organization and team can decide which approach best fits its style. It can also be beneficial for a team to start with the Core Groove process, building a comfort level with managing to monthly milestones. The team can later decide to try adding the Weekly Groove module if they feel it will take their planning and execution to the next level.
